A restaurant POS proposal should explain the complete cost of the setup your team will use. A headline monthly price can leave out equipment, additional terminals, integrations, support, training, or payment-related charges. Compare written proposals over the same period with the same requirements.

Per-Transaction Fees: Death by a Thousand Cuts

For a hypothetical example, assume a provider charges a 0.3% software transaction fee on £800,000 of annual eligible sales. That fee would be £2,400 per year, or £12,000 over five years if sales and the rate stayed unchanged. This illustrates the calculation, not a market average or a claim about any named provider. Check payment-processing charges separately.

Update Lock-In and Hardware Cycles

Ask which hardware is supported, who owns it, and what happens when a device reaches the end of support. Request itemised replacement and installation costs. Compare alternatives using the printers, terminals, and accessories your restaurant actually needs.

The Downtime Tax

Server-based POS systems — where the software runs on a local machine in your office or back room — are single points of failure. When that server goes down, your entire operation stops. No orders, no payments, no sales data.

Cloud systems with genuine offline mode (not just a "lite mode" that blocks most functions) keep you trading during internet outages by syncing locally and uploading when connectivity returns.

  • Document sales delayed or lost during an interruption rather than applying an industry-wide estimate.
  • Include the cost of recovery support and replacement equipment in your comparison.
  • Measure staff time spent on your fallback and reconciliation process.
  • Review the process for resolving guest complaints and uncertain payments.

What Modern Looks Like

A cloud-native POS with zero per-transaction fees, automatic software updates, and hardware-agnostic design eliminates all three of these cost categories. The subscription price is higher on paper. The total cost of ownership over three to five years almost always isn't.

Before your next renewal, ask your current provider: What is your total transaction fee structure? What is your uptime SLA and how is downtime compensated? What is my hardware refresh obligation over the contract term? The answers will tell you everything.
